Two hosts, two clocks, one recording slot
A two-host show runs on two calendars, two work weeks, and often two time zones, and only one recording slot has to work for both people every week. When that slot gets renegotiated from scratch each episode, the show is not scheduling, it is re-litigating a decision it already made once.
The guest link does not solve this
A scheduling link with time-zone detection fixes a guest's one-time yes. Co-hosting is a standing commitment two people keep for a season, not a booking that closes once. Guest scheduling removes friction from a single yes; co-host scheduling has to survive week fourteen the same way it worked in week one.
Fix the day before you fix the hour
Pick one recording day and one recurring time block, and treat it as a standing commitment, not a weekly poll. A fixed day removes the two-person negotiation from every week and leaves only the actual prep work in front of you.
- Pick the day both hosts can hold every week for the length of the season, not just this month.
- Block it on both calendars as a recurring event, not a one-off invite you resend each week.
- Add a buffer before and after, same as any interview slot, so overrun on one host's end does not eat the other's next meeting.
- Write both hosts' local times in the invite title, so neither has to convert on the fly.
- Revisit the day only at a season boundary. Mid-run changes are how the slot starts drifting again.
Rotate who takes the worse time zone
A fixed day fixes the day, not the fairness. If one host is always up at 6 a.m. and the other always logs off at a normal hour, the slot survives but the goodwill does not. Alternate which host gets the easier half of the day, episode by episode or on a set cycle.

Split prep by segment, not by the whole episode
Dividing prep fifty-fifty on every episode means both hosts read the same guest bio and neither reads it closely. Split by segment instead: one host owns guest research and the cold open, the other owns the questions list and the close. Each person shows up expert in half the episode.

Put the rotation and the split on one record
A rotation and a prep split only work if both hosts can see the current cycle without asking. Debrief on the record, not on a call neither of you can make
A twenty-minute live debrief works when both hosts have the extra half hour right after recording. Across time zones, one of you often does not. Log the post-recording debrief on the episode record instead, so the host who has to sign off first still leaves their notes before the thread goes cold.
What holds when one of you is out
The rotation and the segment split exist for the weeks everything runs normal. They also cover you the week one host is traveling or sick: the other already knows which segment is theirs and does not have to reconstruct who owns what from memory.
