How to follow up after a podcast guest no-show
You blocked the time, opened the recording software, and waited. The guest never showed. The story you tell yourself in that empty ten minutes is usually the wrong one. Most no-shows are a double-booking or a reminder that never fired, not a snub.
So write the follow-up you would want to get if you had blanked on a call. Assume the busy day, skip the guilt, and make rebooking a five-second reply. The warm version recovers far more guests than the wounded one.

We missed each other today, Alex
Hi Alex,
We had the recording booked for today, and it looks like the day got away from you. It happens to all of us, and I am not worried about it.
Whenever you resurface, I would still love the conversation about your first year running remote. If it is easier, just reply with a day or two that tend to be calm for you and I will send a new hold that fits.
No need to explain what came up. I have missed my share of calls, and a busy day is the most likely story by far.

Why this one gets a yes
- It assumes the honest mix-up, not the brush-off. "The day got away from you" hands the guest an easy, dignified explanation instead of a demand for one.
- It carries the next step inside it. A booking link and a request for two calm days mean the guest can fix it in seconds rather than compose an apology first.
- It skips the guilt trip entirely. No "I waited fifteen minutes." Making it painless to come back is what turns a missed slot into a recorded episode.
Common questions
What do I say when a podcast guest misses the recording?
Keep it warm and short, and assume the day got away from them. Skip any hint of a guilt trip, restate that you would still love to record, and give them a fast way to rebook. Most no-shows are honest mix-ups, and a kind note gets a far better response than a wounded one.
Should I follow up after a guest no-show or let it go?
Follow up, once, and soon. A guest who double-booked or missed a reminder is usually embarrassed and glad for a graceful way back. One friendly message that assumes goodwill and makes rebooking easy recovers most of them. If that goes unanswered, then you can let it rest.
How do I rebook a guest who missed the recording?
Hand them the booking link again or ask for a day or two that tend to be calm, and take the pressure off. Do not ask them to explain what happened. The easier and less awkward you make the second attempt, the more likely they are to show up for it.
