Guest post invitation email template for your newsletter

A vague guest post invite is an assignment of homework. Write something for my newsletter hands them a blank page, a word count, and a deadline, which is exactly the work they already struggle to do for themselves.

A good invite arrives with the piece already framed. You name the one thing they know that your readers need, you cap the effort honestly, and you make clear the byline sends readers back to their work. You are not asking for free labor. You are offering your audience as the venue for a piece only they can write.

One piece I think only you can write

Hi Alena,

I write Second Draft, where I cover the unglamorous mechanics of self-employment for a few thousand freelancers who left agencies.

There is one piece my readers need that I cannot write, because it is yours: how you price a project when the client refuses to share a budget. Every time I get near that topic I end up pointing at your work anyway, so I would rather just hand you the microphone.

To make it easy: 800 to 1,200 words, one draft plus one revision, written your way, and I do the editing pass. Full byline, a proper intro from me on why you are the person to listen to, and links back to your newsletter and the pricing course so my readers become yours.

If the timing is wrong or the idea does not spark, say so and I will keep being a reader. But if it does, I would love to run it.

Common questions

How do I invite someone to write a guest post for my newsletter?

Name the specific piece you want, not a topic area. Cap the effort honestly with a word count and revision count, offer to handle editing, and make clear the byline links back to their work. The invite should read like you have already done the hard part, the framing, and are handing them the fun part.

Should I pay for guest posts on a small newsletter?

If you can, even a modest amount changes the dynamic and the quality of who says yes. If you cannot, be honest about it and make the non-cash value real: a proper introduction to your readers, prominent links to their work, and a piece they are proud to point at. What you should never do is dress up exposure as payment.

What if the guest post does not fit my newsletter's voice?

That is what the one revision pass is for, and it is also why you frame the piece precisely in the invite. A tightly framed idea rarely comes back unrecognizable. If it still does not fit, run it with a clear intro framing it as a guest perspective. Your readers can hold two voices, and the guest kept their own, which is why you invited them.
